Position Summary :

The Executive Assistant, Office of the Chief Conservation Officer provides high-level strategic and logistical support to Audubons Chief Conservation Officer, ensuring seamless execution of the CCOs schedule, engagements, and priorities through proactive planning and coordination. This role manages a complex calendar, detailed travel, and executive correspondence, while overseeing high-profile events from preparation to on-site support, including travel with the CCO as needed. Success in the position requires strong judgment, organizational excellence, discretion, and adaptability in fast-paced settings. The Executive Assistant serves as a trusted liaison and resourceful problem solver, supporting both behind-the-scenes operations and public-facing engagements.

This position is hybrid in Washington, D.C.

Compensation:

$40.00 - $45.00 / hour
Essential Functions:

Manage a high-volume, complex calendar for the Chief Conservation Officer, proactively addressing conflicts, aligning priorities, and maximizing executive productivity.

Coordinate detailed domestic and international travel for the CCO, including multifaceted itineraries, accommodations, meeting logistics, and contingency planning.

Prepare comprehensive travel briefs and detailed itineraries; serve as the primary point of contact for all stakeholders involved in travel engagements.

Accompany the CCO on select travel to provide hands-on, real-time support, ensure smooth execution of events, and document outcomes.

Serve as liaison with trip hosts and internal teams to coordinate logistics, troubleshoot issues, and ensure the CCOs time and presence are maximized.

Draft, edit, and manage high-level written correspondence and briefing documents on behalf of the CCO.

Organize and prioritize incoming tasks and communications across email, calendar, and shared systems; develop daily and weekly briefing materials and task lists for the CCO.

Serve as a strategic partner to the CCO, staying informed about organizational priorities, emerging issues, and key stakeholders to ensure alignment and readiness.

Develop and maintain a system for tracking action items, deadlines, and follow-up for CCO-related projects.

Proactively and efficiently keep leaders up to date on relevant travel plans and priorities for the CCO.

Prepare agendas and take notes at internal meetings as requested.

Uphold the highest standards of discretion, professionalism, and confidentiality.

Act as a culture carrier, building strong internal relationships and helping to uphold an inclusive, responsive, and high-performing executive office environment.

Perform additional responsibilities and special projects as assigned.

Support a culture of philanthropy, including public funding efforts.

Collaborate with colleagues across the Americas including through joint planning and execution of shared priorities.

Qualifications and Experience:

Bachelors degree and at least 5 years of experience supporting senior-level executives. An equivalent combination of education and experience will also be considered.

Demonstrated expertise in managing highly complex schedules and executive travel, including high-volume meeting coordination, time zone management, and executive-level judgment.

Experience managing the full life cycle of in-person executive engagements, including stakeholder coordination, preparation of materials, and on-site event support.

Excellent writing, editing, and verbal communication skills; ability to draft and proofread executive-level communications with clarity and professionalism.

Strong ability to anticipate needs, navigate ambiguity, prioritize effectively, and act with sound judgment and discretion under pressure.

High proficiency with Microsoft Office Suite and Zoom; comfort learning and implementing new technologies.

Exceptional interpersonal skills and a customer service orientation; ability to work with board members, senior staff, donors, and external partners with discretion and tact.

Demonstrated ability to work both independently and collaboratively within a dispersed and dynamic team environment.

Willingness and ability to work extended hours and travel as needed to support in-person engagements.
